When should I arrive at NBM?

Attendees should arrive in Indianapolis no later than 6 p.m. the evening of Monday, January 19 in time for the Opening Night Celebration. All attendees must check in at the Dot Registration Desk on the 3rd floor of the JW Marriott upon arrival to receive their event name badge. To receive your badge, please be prepared to show your Dot ID or other form of photo ID.

When should I depart?

All attendees are required to stay two nights in Indianapolis. Department meetings will end either Wednesday, January 21 or Thursday, January 22. Please work with your manager for your department’s schedule.  

Where do I check in and get assistance?

Please stop by the Dot Registration Desk on the 3rd floor of the JW Marriott starting at 2:00 p.m. on Monday, January 19 to receive your name badge. Your name badge is required at all Dot-hosted events.

What is the expense reimbursement policy?

Employees may only submit reimbursement for travel-related expenses. Examples of these expenses include:

  • Personal automobile mileage
  • Car service to/from the airport in the city of origin
  • Parking expenses in your city of origin
  • One checked bag per person
  • Airport transportation to and from the hotel in Indianapolis if arrival/departure is outside of shuttle window 

All other expenses may not be charged to NBM. This includes meals while traveling, Starbucks, room service, dry cleaning etc. Airfare purchased outside of registration or Concur will not be reimbursed. Managers may use their discretion to cover additional expenses out of their sub-department budget.

All employees with computer access should submit expenses via Concur. Select prepaid as the expense type (1226) and subaccount (457). Leave all other fields as is. Include the comment “NBM 2026 travel expenses.” All other employees should submit reimbursement to their manager via the 2026 expense form, found here.

Is free Wi-Fi available?

In-room standard high-speed internet is included in your guest room. Complimentary wireless internet is also available in the hotel lobby areas and the meeting rooms.

What should I do if I’m not feeling well?

We expect all attendees to self-monitor their health and take precautions prior to attending. Before you arrive, if you feel unwell or have flu-like symptoms, please stay home. While onsite follow recommended health & safety best practices including frequent hand washing and covering your mouth or nose when you cough or sneeze.  If you feel sick or develop symptoms while onsite, stay in your room and contact your manager and Kelsey Dunn for assistance.

How safe is Indianapolis? Can I explore the city while I’m in town?

When traveling to a new city, it’s important to keep safety top of mind. While Indianapolis offers plenty to enjoy, we ask all attendees to remain aware of their surroundings during NBM. Travel in groups whenever possible, avoid leaving valuables unattended at the hotel, and use extra caution at night. If you’d like to keep the evening going after our group events, please do so at the hotel rather than heading out alone.

We have worked closely with the hotel and our vendors to plan a safe and secure event with additional security/secondary police in place.

What else do I need to know?

Weather: Typical Indianapolis weather in January is highs in the upper 30s and lows in the 20s. For up-to-date weather information, please visit The Weather Channel at www.weather.com.

Dress Code: Dot’s Dress for Your Day attire is acceptable for all meetings. This includes casual, nice denim. Meeting rooms can be chilly, so please bring a sweater or light jacket if you prefer.

Can I arrive early or extend my stay in Indianapolis?

If you would like to arrive in Indianapolis early or stay later, it will be at your own expense, unless otherwise approved by your manager. Room availability is not guaranteed.
